SPECIFICATIONS FOR ON-LINE TRAINING Process 1. Client purchases the training course on-line, or by way of a fixedquote off-line. 2.  This will give them access to whatever course they have purchasedvia an access code.a.If the course is purchased on-line, then the system will supplyto the customer an access code with which they canimmediately undertake the course.b.If the course is purchased in bulk off-line, the system will needto produce a listing of access codes to the QBM administratorwho will supply this to the customer.c.Client is able to purchase 1 or multiple courses and multiplevolumes of the same coursed.Using the access codes created at purchase have the abilityfor who ever has the codes to go in and complete the course3.They will have up to 12 months to complete this course or it willexpirea.Access is for 12 months from the date of purchase and willautomatically expire at the end of 12 months if a course hasnot been completed4.They will go in when they are ready and work their way through thecourse a.  The login will require the individual trainee to supply theirdetails for the production of the certificate of competency. Thetrainee will only need to supply these details once only.b.Thus the log-in will require the user to enter their name andthe access code previously supplied.5.The trainee will need to read the course content and view videos. The user will need to be able to go back over course content asrequired.a.The training materials will be a combination of PDF, Text andVideos. The questions naturally will be text entered by theadministratorb. The will be content to review, watch a video, review morecontent, read legislation, watch another video, review morecontent, complete questions. If it is easier to break it intochapters then that would be suitable. 6. They then will answer a set of multiply choice questionsa. There will be the ability to have unlimited tries at completingthe quizb. This will let the trainee know if they have passed or it theyneed to have another goc.A pass will equal 100% correct answers. The system will needto let the trainee know which questions are incorrect andallow the trainee to review the course content prior toanswering the incorrect questions.  d.b) There will only be multiple choice questions.7.When all questions have been answered correctly, it will tell themthat have passed 8. A certificate or letter of competency will be produced with thetrainees details which were previously supplieda. This is an automatic document that is filled in with theinformation that the trainee enters at the start of the course 9.  This course will then be closed and not able to be re-done. Thetrainee will have no further access to the system unless they supplya new unique access code.a.The only thing that is still accessible is the certificate until it isprinted and then this course is no longer valid10.Administrator will need to make changes to courses asrequired to suite legislation. As well there will be a requirement toadd courses as required. There should not be a limit to the numberof courses. My terminology of a course is a single subject with atrainee reading the material and answering the questions, successful completion is when they answer the questions correctly, and printing a certificate. There is no linkage to different subject toform a total learning package. Each will be purchased separatelyand completed separately. Customer Access  At times, customers will purchase bulk access codes for their staff toundertake the training. Thus there will be a requirement for thecustomer to purchase multiple access codes from an on-linepurchasing system.  However, in the majority of cases, the QBM administrator will enterthe customer details into the system and produce a list of uniqueaccess codes for the customer.  Customer details will need to be entered into the system by theQBM administrator and also give certain access permissions to thecustomer’s representative.   The customer’s representative will have access to view the list of their staff and if they have completed the course to ensure that allof their staff have actually completed the course.   This will be handled by the customer details being set against eachaccess code purchased. Ie: o Customer ABC purchases 3 access codes for their staff  o Customer ABC is given 3 unique access codes  123a  246d  548c o  The system will hold the details of these codes and thecustomer name to enable the report to be produced   The customer’s representative will be able to produce a writtenreport of all of their staff who have completed the training.  (completed training in when the trainee has produced the certificateof competency)4)There is a need for reporting by customers at the managerial levelonly. That is:a)Ability to produce a list of their staff who have commenced thetrainingb)Produce a report to list all staff who have successfully completedthe training. Successful completion = printing of certificateFor bulk purchases, this should be set up by our office as follows.  Set up the company  Set up a supervisor for the company which gives access to thatsupervisor to view all of their staff’s training progress and report asper reporting above.  Produce a list of access codes to give to the customer for theirindividual staff trainees.  As each staff then log in, they would use these access codes whichwould provide the link to the customer. Additional information:  The login process shall involve the trainee entering their unique accesscode, their name and email address. The combination of these will sufficeto not requiring a password. If the trainee needs to reprint their certificate then they should be allowedaccess fro 12 months from first login to reprint the certificate by logging inusing these 3 attributes to find their details.QBM administrator should access to a report of persons names and emailaddresses. This report should be able to be produced in MS Excel forimport to a CRM system. Please consider an option in the system to automatically generate aautomatic email to send to trainees who had completed the training at the11 month mark to inform them that their certificate is only valid for 12months and that they will need to compete the course again prior to theexpiry of 12 months. On signing in, each trainee will need to agree to the terms and conditionsof training by clicking “accept”. The administrator will need access toproduce and alter these terms and conditions as required. There will onlybe one set of terms and conditions. There is to be no restrictions that the trainee must actually view allcontent. There should be an ability to move through the course at theirown pace. However the questions must be answered 100% correctly. Some questions will be from the videos, etc. We will not be worried about“Mary doing course for Jim”  Course Content  The training materials will be a combination of PDF, Text and Videos. Thequestions naturally will be text entered by the administratorMultiple choice questions will be added from admin panel and the systemwill automatically pick the random questions and prepare a test paper inorder to avoid the duplicity of questionsAdministrator will need to make changes to courses as required to suitelegislation. As well there will be a requirement to add courses as required. There should not be a limit to the number of courses. My terminology of acourse is a single subject with a trainee reading the material andanswering the questions, successful completion is when they answer thequestions 100% correctly, and printing a certificate. There is no linkage todifferent subject to form a total learning package. Each will be purchasedseparately and completed separately There will not be chapters as such. The will be content to review, watch avideo, review more content, read legislation, watch another video, reviewmore content, complete questions. If it is easier to break it into chaptersthen that would be suitable. We do not have the tools to record and edit audio or video. We contractthis process to an external provider. However, we are open to a proposalto install a audio editor to allow us to produce our own audio files tomatch the text. The videos will still be purchased from an externalprovider. The system must have the ability to allow the import of the video into thecourse. The solution will need to only produce the tools to create and edit the textcomponents. There a requirement as stated above to allow the import of video and text into the courses. Please provide an option to allow thecreation and editing of audio as required. Video will be produced by anexternal provider; however there is a requirement to import the video asrequired into the correct location of the course. Reporting  There is a need for reporting by customers at the managerial level only. That is:c)Ability to produce a list of their staff who have commenced thetrainingd)Produce a report to list all staff that have successfully completedthe training. Successful completion = printing of certificate
